Office Assistant
Job Description
Hidden Villa is seeking an Office Assistant to provide support to the Executive Director, including administrative support in calendar management, and assist with other office and administrative tasks as needed. This is a part-time, hourly position, scheduled to work approximately 30 hours per week.
Primary Administrative Duties: -Support the Executive Director by providing management of calendar and other administrative tasks; -Respond to main phone line and email address, and greet visitors in the front office, providing gracious and effective communication; -Serve as support to the Board of Trustees in preparing packets for board meetings and committees, and providing scheduling and logistical support for meetings, including space reservation and any necessary catering; -Coordinate internal communications to keep staff informed, including emails, calendar invites, and the organization’s wiki; -Assist with overall office support, including ordering supplies, and the technical support of accounts (e.g. Google Workspace), computers, phones, and copiers, coordinating with vendors when necessary.
Qualifications: -Minimum two years administrative support experience; -Experience with Google suite (docs, calendar, sheets) preferred; -Excellent communication and organizational skills; -Excellent judgment and discretion regarding sensitive information required.

Physical Requirements: -Physical ability to stand, reach, bend, and lift items weighing up to 30 pounds. -Regular and consistent attendance and the ability to sit at a desk and/or work with hands and arms for at least six hours per day and five days per week. -Able to communicate clearly, graciously and promptly to colleagues, visitors and volunteers.
TERMS OF EMPLOYMENT: This is a part-time, non-exempt (hourly) position, scheduled for 30 hours/week, M-F with occasional weekend or evening work. The compensation for this position is $30.00 per hour. This position is fully benefitted, including paid time off, health insurance and retirement. Because Hidden Villa is a youth-serving organization, all applicants will be required to complete a background check and Live Scan fingerprinting before hire. Due to the nature of Hidden Villa’s operations, work hours may vary.
